A secure platform for progress, evidence and reporting
Pathway began with a real operational problem: outcomes, targets, observations, evidence and reporting all needed to stay connected without forcing staff to work across a patchwork of spreadsheets, documents and folders.
Atinamos designed the system around the way tutors, case managers and administrators actually work, while keeping organisation boundaries, Google Workspace ownership and human professional judgement at the centre of the architecture.
Keep the learner record connected without creating another information silo
Education and support work can generate a large amount of connected information: learner profiles, EHCP outcomes, SMART targets, tutor observations, evidence, review notes, progress records and formal reporting. When those pieces live in separate documents and individual working methods, maintaining a clear picture of progress becomes difficult.
Pathway was designed to connect that workflow. The aim is not simply to store data, but to make the relationship between an outcome, the targets underneath it, the evidence being collected and the eventual report much easier to follow.
Organisation boundaries are part of the system, not an afterthought
Google OAuth identity
Authorised staff sign in with Google. Pathway uses the authenticated account to identify the user and route them to the correct organisation before organisation-level permissions are applied.
Separate organisation databases
Each organisation has its own tenant database rather than sharing learner records inside one common organisation table. A central platform registry handles routing and organisation lifecycle information, while learner and operational records remain organisation-scoped.
Role-scoped access
Permissions are applied inside the organisation boundary so tutors, case managers and administrators see the functions and records appropriate to their role rather than one unrestricted application view.
Fail-closed routing
The production architecture is designed so an unresolved or invalid organisation does not silently fall through into another tenant. If the correct tenant cannot be resolved, access fails rather than guessing.
The organisation keeps its evidence in its own Workspace
For organisations using the Google integration, evidence documents, images and retained report files remain in that organisation's own Google Workspace or Drive environment. Pathway stores the application record, metadata and the identifiers needed to connect the record back to the correct file.
This was an important design choice. Pathway does not create a second central library containing copies of every evidence file. The organisation remains in control of the Workspace where those files live, while Pathway provides the structured workflow around them.
That separation also means a database export does not silently duplicate the organisation's Google Workspace content. Application records and file metadata can be treated separately from the original document bytes.

Tutors
A mobile-friendly workspace supports tutors who need to review assigned learners, record observations, contribute evidence and update progress without working through the full administration interface.
Case managers
Case managers can review the wider picture around outcomes, targets, evidence and progress, giving them a more useful oversight view than a collection of separate files.
Administrators
The administration system manages learner records, outcomes, SMART targets, users, roles, reporting information and organisation settings from one structured place.
Audit and accountability
Operational and audit information is retained so significant activity can be reviewed and the system can support troubleshooting, oversight and controlled administration.
AI can help draft a report. It does not make the judgement.
Where an organisation enables AI-assisted reporting, Pathway can use selected written context already recorded in the system to help produce a first draft. That can include outcome and target information, written notes, evidence summaries and review content relevant to the report being prepared.
The feature is deliberately bounded. It is not a general-purpose assistant and it is not used to decide whether a learner has achieved an outcome, make safeguarding decisions or replace the professional judgement of the staff responsible for the record.
Any generated wording remains draft material. An authorised member of staff must review, correct and approve it before it becomes part of a formal report. Google Workspace files, uploaded evidence documents, images and PDFs are not duplicated simply to power the AI feature.
A small SaaS architecture built around clear ownership boundaries
Pathway is a multi-tenant Flask application. The current architecture uses a central platform registry to resolve organisations and separate organisation-specific databases for tenant application data. Google Workspace provides the connected document-storage boundary for organisations using the Google integration.
The platform has evolved beyond its original prototype architecture as the requirements became clearer. Database routing, organisation provisioning, encrypted tenant configuration, Google integration and role-aware workflows have all been developed as explicit system boundaries rather than being left as assumptions inside application code.
A platform that connects the record without taking the evidence away from the organisation
Pathway demonstrates the sort of bespoke system Atinamos can build when the real challenge is not a website, but an operational process involving people, permissions, records, external platforms and sensitive information.
It brings learner progress, evidence and reporting into one workflow while keeping organisation separation, Google Workspace ownership and human oversight visible in the design.
