Case study · Private staff intranet

Staff Intranet & Training Portal

A private, practical home for staff news, policies, training resources and day-to-day tools, developed around the needs of an arts and education organisation.

Instead of building a large generic HR platform, Atinamos developed a focused staff hub that brings existing resources and new workflows together.

The need

Give staff a reliable starting point

The organisation has a mixture of permanent and freelance staff working across education, theatre and community activities. Important information lives in different places: shared documents, messages, training links and organisational updates.

The intranet was built to make those resources easier to find and give staff a clear place to start, without replacing the Google Workspace tools already in use.

What was developed

A staff hub organised around practical needs

Controlled staff access

Google-account sign-in, staff account status and access checks help keep the intranet separate from the public website. Administration and publishing tools have their own permissions.

News and updates

A dedicated staff news board and an administration editor provide a structured way to prepare and publish internal updates, with options for Google Chat Staff Space notifications.

Policies and resources

Staff can navigate policy documents, safeguarding guidance, training resources and useful links from one place. Source policy files remain in the organisation's Google Drive.

Individual to-do items

Assigned policy and training requirements appear in a staff to-do area. The system includes acknowledgement, evidence-upload and administration workflows where these are required.

Admin oversight

Administration interfaces support staff access, assigned requirements, completion records and reporting, rather than relying on one shared spreadsheet.

Approach

Build around the existing tools

The intranet does not attempt to replace Google Drive, Chat or Meet. It acts as a clearer front door to the information and actions staff need, while adding focused features for news and assigned requirements.

Because it is an internal staff system, the intranet itself is not linked as a public demo and staff information is not reproduced in this case study. The system continues to be refined as the organisation's requirements evolve.

What it demonstrates

Operational software tailored to one organisation

This work brings together a role-aware staff interface, existing Workspace services and bespoke publishing and task workflows. It shows how Atinamos can develop a useful internal tool without selling a larger platform than the organisation needs.
